    We're seeking an Office Coordinator to join our team. As our new Office Coordinator you will be responsible for office administration and clerical responsibilities for all employees in the Florham Park Corporate Office. Essential functions of the job:

    • Welcomes visitors and callers with a high level of customer service in a professional and courteous manner; answering or referring inquiries; opening and closing the office according to established procedures.
    • Maintains office services by organizing office operations and procedures; preparing correspondence; maintaining filing systems; completing clerical functions; distributing incoming mail and faxes and assure prompt and accurate handling of outgoing mail and faxes; processing all vouchers for payment; request check for postage and maintain adequate level of postage in machine. Make sure that all printers and fax machines are filled with paper daily.
    • Maintains a safe, clean and comfortable office environment by maintaining overall neatness; ensure that all office maintenance vendors are appropriately scheduled and verify that all such work is completed.
    • Maintains adequate stock of office supplies by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies, verifying receipt and accurate delivery of supplies.
    • Makes requested travel and hotel accommodations for all leadership and operations team members and communicates accommodations to team.
    • Coordinates all hospitality and catered events. Orders all food and supplies for daily coffee service and meetings. Fill coffee machine and keep coffee area neat and clean at all times. Empty refrigerator of perishable items every Friday after 3:00pm.
    • Orders business cards.Order, review for accuracy and distribute business cards for all staff.
    • Will travel locally for office needs if necessary.
    • Assist recruitment efforts.
    • Data entry.
    • Additional tasks as assigned.


    Required Qualifications:

    • Minimum of an Associates degree obtained
    • Strong English communications skills
    • Minimum of 1 year of office experience
    • Computer proficiency (Word, Excel, PowerPoint, email)

    • Highly developed written and verbal communication skills.
    • Exceptional customer service and interpersonal skills.
    • Professional appearance and demeanor.
    • Proven ability to prioritize and multi-task in a fast-paced environment.
