Responsibilities

The Member Account Administrator is responsible for managing member account data and reporting for the fitness center. He/she will be a resource to employees of the fitness center by offering assistance with member account related questions or updates. This person oversees all financial transactions within the fitness center including: member account collections, monthly billing, reporting to budget, and account audits. He/she responds to financial reporting related questions, issues, or concerns regarding the operations of the fitness center. 

 

The Member Account Administrator services the EXOS team, the University, as well as existing members. They will manage invoicing for A/R, member refunds and payments, and other revenue streams. They will manage the financial reporting process including report creation, data reconciliation, and presenting results. The Member Account Administrator will also be responsible for reconciling inventory on hand, cash drawers, and deposits while supporting University Finance and EXOS policies. This is a high profile position delivering the highest level of accuracy, exemplifying professionalism, and demonstrating knowledge of the Center and its operations. This person has the responsibility of being responsive to members and being a resource for the fitness team’s needs regarding the net profit and loss of the center.

 

ESSENTIAL FUNCTIONS OF THE JOB

 

  • Creating financial reporting
  • Assisting managers and team with operational reporting and setup within member management system
  • Verification of the accuracy of invoices, documents and records
  • Maintenance of journals, ledgers, financial reports and company transactions
  • Discovery, analysis and recommendation to rectify any discrepancies or  problematic data           
  • Present specific results and confidently discuss financial details with executive level leadership
  • Keep accurate member records in the software and filing system
  • Process member refunds or credits in a timely manner
  • Manage corporate account invoicing and reporting
  • Track, process and reconcile invoices with A/R
  • Audit retail inventory
  • Oversee all member records including updates, billing changes, etc.
  • Prepare daily, weekly, monthly center reporting vs budgeted goals
  • Set up in advance and process EFT an ACH transactions monthly
  • Process EFT and ACH returns
  • Provide journal entry data with backup to be submitted by accounting
  • Adhere to and hold others accountable to University policies regarding purchasing, collections, and cash handling
  • Prepare and process bank deposit daily with internal report
  • Support cash and expense reconciliation
  • Track payroll against budget, provide monthly payroll reporting including commissions reconciliation
  • Troubleshoot software issues
  • Act as account liaison for software provider

Qualifications

Required Qualifications:

 

  • Bachelor’s degree in Business, Finance, Accounting, or related field
  • Minimum of 1 year of experience using Point of Sale software
  • Minimum of 1 year of experience using Microsoft Excel for business purposes

 

Preferred Qualifications:

  • Proficient in Microsoft Excel including the ability to interpret and examine data effectively
  • Excellent communication skills are essential
  • Discretion and management of confidential and sensitive information
  • Superior customer services skills

  • Experience in member management software- CSI 
  • Capable problem solver

Physical Requirements:

  • Requires long periods of standing or sitting
  • Moderate use of computer terminal screen, right or left hand use, typing
  • Grasping and gripping movements
  • Ability to lift 50 lbs.  Some lifting may require additional assistance from another staff person. Employee is expected to use discretionary judgment and ask for assistance from another employee if an item is perceived to be too heavy to lift without assistance
  • Use of personal safety equipment required
  • Use of chemicals, including cleaning and laundry supplies
  • Continuous exposure to moderate to loud noise
  • Occasional exposure to bodily fluids
  • Occasional lifting, pulling, climbing, kneeling, and bending
