    We are seeking a Project Coordinator to join the EXOS team.  The Project Coordinator supports client retention and value driven growth of EXOS’ corporate fitness center business through facilitating the internal process of quoting, ordering and implementing fitness equipment and EXOS products.  This position will work in conjunction with other EXOS internal teams including those overseeing equipment supply chain, fitness facility design, and finance to ensure all necessary steps are fulfilled from the time equipment and EXOS product is quoted through the delivery and installation and client billing.


    Position Responsibilities:

    • Function as key interface between EXOS Works Account Management/Field Operations team and other internal EXOS teams such as equipment supply chain, fitness facility and design, EXOS product and technology teams to meet the following client needs:
      • Requesting and distributing equipment, product or technology quoting, revising as needed due to shifting timelines or needs
      • Initiating equipment and technology orders once approved by client
      • Facilitating fitness center space design and equipment layouts with design team by communicating key client objectives and parameters
      • Coordinating equipment or product delivery, install, or implementation with internal teams and with client
    • Support Account Management and Field Operations Directors by coordinating other EXOS SMEs as needed for:
      • key design and equipment layout considerations
      • equipment selection considerations
      • delivery and installation needs
    • Assure key project timelines and all necessary EXOS and client requirements are met accurately and on time
    • Facilitate review and process of purchase orders and/or contracts pertaining to equipment or product
    • Develop accurate invoices for client billing of equipment or product
    • Coordinate internal and external client facing interactions as needed to assure project success
    • Develop client facing communications as needed to provide ongoing project status updates
    • Conduct post quality assessment reviews and continually process improve
    • Lead and/or serve on selected ad hoc and/or standing company projects, management committees and task forces

    Required Aptitude

    • Experience successfully managing projects with multiple stakeholders and specific requirements and timelines
    • Troubleshoot challenges to maintain satisfaction
    • Identify, communicate and implement strategies for improvement based on results
    • Regular and fluent communication with Account Management / Field Operations team on the status of project status and deliverables
    • Utilize ZOHO (CRM) to track sales and upgrade opportunities



    Required Qualifications:

    • Bachelor’s Degree
    • Experience in a client-facing service
    • Strong proficiency using Microsoft software and G Suite

    Preferred Qualifications:

    • Previous fitness center experience
    • Proven ability to build and maintain strong internal and external customer relationships
    • Strong use of existing project management software
    • Excels working in a dynamic, fast-paced environment with competing priorities
    • Ability to plan, organize, prioritize & achieve effective time management to meet deadlines
    • Strong written and verbal communication and follow up skills among both internal and external customers
    • Detail oriented with a focus on quality processes and quality output
    • Self-motivated with entrepreneurial initiative
    • Team player mentality
    • Ambition, diligence, and passion for improving the lives of others
    • Embraces technology and uses it to create efficiencies
    • Speaks and writes clearly, succinctly and professionally
    • Interest in fitness equipment, technology or fitness facility design


    Physical Requirements:

    • Candidates applying for this position should be able to lift up to 50 pounds unassisted repeatedly throughout the workday. Also, the physical requirements of this job require frequent walking around and demonstrating and assisting with exercise movements, bending, stretching, lifting, pushing, pulling and squatting.
